Why we collect information
Personal information is collected only where necessary to:
- Respond to enquiries
- Arrange and carry out assessments
- Prepare assessment reports
- Provide recommendations and follow-up services
- Meet legal, professional, and accounting obligations
Personal information is not sold or used for marketing purposes.
Sharing information
Information will only be shared:
- With the client or parent/carer
- With the client's permission, with schools, colleges, universities, employers, or other professionals

How information is stored
Information is stored securely using password-protected devices and secure electronic storage. Paper records are kept securely and confidentially.
How long information is kept
- Enquiries not leading to a booking: 3 months
- Raw score sheets and assessment notes: 1 month
- Assessment reports (electronic copies): 6 years
- Financial records: 6 years
Assessment materials may be retained for longer where required for professional accreditation, quality assurance, legal, regulatory, or insurance purposes. After the relevant retention period, information is securely destroyed.
Clients are advised to retain their own copy of an assessment report, as replacement copies may not be available once the retention period has expired.
Your rights
Under UK data protection law, you have the right to:
- Request access to your personal information
- Request correction of inaccurate information
- Request deletion of information where appropriate
- Request restriction of processing in certain circumstances
- Object to processing where appropriate
- Complain about how your information has been handled
